Position: Receptionist Monday-Friday - 9:00 AM – 6:00 PM
JOB SUMMARY:
Responsible for completing assigned receptionist duties under the direct supervision of the Support Services/ Office Manager.
DUTIES AND RESPONSIBILITIES:
Answers phone calls and directs callers to the appropriate party.
Greets and assists all parents, callers and visitors in a positive and professional manner, and relays information appropriately.
Prepares files for incoming participants. Establishes participant status on Pro-Care System.
Updates participant address, class assignment and other pertinent data on Pro-Care annually or as needed.
Collects program service fees and assists in keeping accounts current.
Records payment for program service fees, accounts receivable and donations on ledger.
Maintains accurate and orderly filing system for participants records including attendance and immunization.
Ensures that an adequate supply of applications (employee and participant) is always available.
Notifies appropriate staff on participant arrivals or departure, if needed.
Assists with keeping all forms updated. Keeps clean and neat forms produced for use.
Performs all other duties as assigned by the Support Services/ Office Assistant and CEO.
WORKING EXPECTATIONS:
Respects & preserves the dignity, personal safety and confidentially of all persons served by or employed by ESWG.
Staff will always exercise professionalism in the presence of participants, visitors, and other staff.
Staff will ensure that all activities and conversations are always geared toward what is appropriate.
To ensure quality of services provided, staff are expected to receive a rating of 20 (meets expectation) or higher on all performance reviews. Scoring under 20 will result in the staff member being placed on a 1–3-month probation until the level of quality is improved or termination may result.
Working hours are determined by program need. This position is: Full time 9:00 AM-6:00PM
Pay: $12 an hour
QUALIFICATIONS:
High school diploma or G.E.D., advanced business training or equivalent experience.
One year of secretary/receptionist experience.
Must be committed to providing outstanding customer service.
Must have excellent interpersonal, and communication skills.
Proficient computer and organizational skills.
Ability to operate general office equipment
Strong attention to detail.
